The key is to automate as much of the data collection as possible. Use a Google Form or a simple spreadsheet that people can fill out themselves. This prevents you from having to manually type in 20 different names and addresses, which is where most errors occur. Once you have the data, you can simply export it to the vendor’s required format.

- Set Clear Deadlines: Give your group a hard deadline for submitting their data and photos. Don’t wait for that one "straggler" who is always late.
- Verify Photos Yourself: Before you send anything to the vendor, quickly check everyone’s photos. Make sure they meet the requirements for lighting and background. A bad photo from one person can hold up the entire group.
- Use a Single Point of Contact: Only one person (you) should communicate with the vendor. This avoids confusion and ensures that all updates are handled centrally.
