Building on our previous discussion about group orders, I wanted to dive into some of the more "logistical" challenges of organizing a large batch for a group. We know about the discounts, but how do you actually manage 10 or 20 different people’s data and photos without losing your mind? And how do you ensure that the vendor doesn’t get confused and swap people’s photos or names?
The key to a successful group order is organization. Most vendors will provide a spreadsheet template that you can use to collect everyone’s info. Use it! Don’t try to send 20 individual emails. A single, well-organized document is much easier for the production team to handle and significantly reduces the chance of errors.
Top Tips for Group Order Organizers
- Collect All Data Upfront: Don’t start the order until you have everyone’s final info and high-quality photos. Chasing people for missing details will delay the whole group.
- Name Your Photo Files Clearly: Use the person’s full name as the filename for their photo and signature. This makes it impossible for the vendor to mix them up.
- Handle Payments Yourself: It’s usually best to have everyone pay you, and then you send one single payment to the vendor. This avoids the "who has paid" confusion and often qualifies you for better crypto rates.
